Members Club Concierge

Define the need first. Breakfast, a week’s workspace, dinner, cultural programme, gym, accommodation and long-term community point to different clubs and routes. State times, guests, ages, accessibility and whether the host can attend. A famous club that fails the daily use is a poor match.

Identify the lawful route

For a hosted visit, confirm that the inviter is a current member entitled to bring the party. Record whether the member must arrive, remain, book dining and settle charges. Never use a member’s name without permission or call an introduction confirmed entry.

For reciprocal access, both clubs must recognise the current relationship. Ask the home club to issue any letter directly; confirm duration, facilities, fees, booking rights and blackout dates with the destination. An old reciprocal list is not confirmation.

For a private function, determine whether non-members stay inside the event space and whether a member must sponsor or attend. Contract, guest list, deposit and rules govern; hiring a room does not open the rest of the club.

Membership applications

An application should reflect authentic fit, not a manufactured narrative. Confirm eligibility, category, proposer and seconder requirements, references, interview or committee process, timing and documents. Confirm guest number, visit frequency, registration deadline, legal names, ID and age by room or hour. Clubs may restrict repeat visits so guest access does not replace membership. Staff still apply admission rules.

Clarify who pays. A club may place guest dining, facilities or damage on the host’s account, require a guest card or permit a separate card only by prior arrangement. The host should know every booked service before accepting responsibility.

Privacy, conduct and devices

Private clubs protect member privacy through rules that may restrict photography, video, livestreaming, social posts, member identification, calls and laptop use. Do not photograph a room merely because no sign is visible. Inform the whole party before arrival and obtain permission for any event photographer or business recording.

Dress is venue-, room- and time-specific. Translate “smart” into the current rule for denim, trainers, shorts, jackets, athletic clothing and themed events. Ask about luggage, security personnel, assistants and drivers; access for the principal does not automatically extend to support staff.

Behaviour by a guest may affect the sponsoring member. Agree that the club’s anti-harassment, intoxication, smoking, substance, solicitation and commercial-use rules apply. A concierge must never market a guest visit as a place to approach members without consent.

Facilities, children and accessibility

Building admission does not guarantee dining, meeting room, pool, gym, spa, event, bedroom or workspace. Reserve each facility under the correct privilege. Check closures, dress, charges and whether business calls are allowed.

Provide children’s ages and the requested time. Family hours, adult-only rooms and supervision requirements can differ. For accessibility, confirm step-free entrance, lift, door widths, accessible bathroom and route to the booked room. Historic clubhouses may need a specific entrance or advance assistance.

For a confidential meal, the restaurant or private room must still be reserved. The fine-dining service can manage menu and dietary details, while the club decides access. For retail introductions connected to a club event, use the luxury shopping concierge separately; membership must never be presented as a guarantee of merchandise.

Changes and record keeping

Keep a written record of route, host, names submitted, confirmation status, booked facilities, fees, cancellation, dress and arrival contact. If the member cannot attend, ask the club whether another permitted route exists; do not simply send the guests to the door.
