REQUEST VIP coordinates luxury estate management around buildings, grounds, household teams, specialist contractors and owner decisions, subject to a written mandate. Begin with the legal owner, accountable local manager, authorised requesters, asset register and annual calendar. The concierge coordinates information and work orders; licensed, regulated and employed professionals retain their own duties.

Key Facts

  • One estate may include the principal house, guest accommodation, plant rooms, grounds, pools, vehicles, art locations and active projects; each needs a named responsible party.
  • Planned maintenance, owner-ready presentation and capital works are separate workflows with different approvals and evidence.
  • Household personnel require a lawful employer, written duties, schedule, pay arrangements, leave, insurance and local employment advice.
  • Keys, alarm details, staff files, family movements and building plans should be available only to authorised roles for a defined purpose.

Private Client Concierge

An estate-management brief should explain how the owner expects the property to operate, not merely list rooms. Define arrival standard, occupied and empty modes, guest protocol, staffing pattern, privacy zones, maintenance tolerance, approval limits and the evidence needed to close a task. A second home used six weeks a year needs a different calendar from a staffed principal residence.

The private client services hub shows how operational coordination sits beside specialist advice. The exact parent residential services separates estate work from narrower arrival and staffing requests. REQUEST VIP should state whether it provides remote coordination, scheduled attendance or a formally appointed manager in each location; none may be inferred from the service name.

Build the estate operating record

Create one controlled register for buildings, systems and movable assets relevant to operations. It can identify manufacturer, model, installation or acquisition date where known, warranty, responsible vendor, service interval, last action, open defect, manuals and document location. It is an operations tool, not a valuation, title record or safety certificate.

The annual plan should connect seasonal openings, weather preparation, garden cycles, pools, vehicles, statutory inspections identified by local professionals, insurance renewals and owner dates. Each item needs a work order, quote threshold, access window, completion evidence and next due date. Missed work should be visible as an exception rather than silently rolled forward.

Use household management for daily routines, stock and staff handovers. Estate management adds coordination across structures, land, technical systems and material projects, but it does not make the concierge an architect, engineer, surveyor, building contractor or statutory inspector.

Staff, contractors and employment boundaries

Map the real reporting line for estate manager, house manager, housekeepers, gardeners, drivers, chefs and security personnel. ILO Convention 189 sets an international standard that domestic workers receive clear, verifiable terms, preferably in writing, covering items such as duties, workplace, pay, hours, leave and termination. The applicable national law and any ratification position still require local employment counsel.

If recruitment is needed, use the dedicated household staffing service and document who is recruiter, agency, employer of record and payroll administrator. Candidate consent and local rules govern reference, identity, right-to-work and criminal-record checks. REQUEST VIP must not describe a candidate or network as vetted until the searches, provider, jurisdiction, date and limitations are confirmed.

Contractors require a different file: legal entity, authorised trade where relevant, insurance evidence, scope, drawings, exclusions, quote, tax, schedule, access, supervision, warranty and dispute route. The owner's lawyer, technical consultant and insurer should determine what approvals or professionals are required. A concierge may schedule and report but cannot certify structural, electrical, fire, lift, pool or environmental compliance.

Access, privacy and incident control

Maintain a role-based key and credential register showing issue, purpose, permitted area, start, expiry and return. Do not circulate master codes in general message groups. For every vendor visit, name the host, occupied zones, photography rule, data restriction and procedure if the work changes.

ICO guidance describes data minimisation as using only information necessary for a specified purpose. Apply that discipline to passports, staff files, household routines, CCTV extracts and guest information, while obtaining jurisdiction-specific privacy advice.

A security concern moves to appropriately licensed specialists through residential security coordination. Estate staff and general contractors should not be assigned protective judgments beyond their training and contract.

Reporting, spending and engagement terms

A useful owner report separates completed work, overdue risks, decisions required, approved spending, forecast tasks and exceptions. Attach invoices and evidence without duplicating sensitive data across unnecessary recipients. Large projects need their own decision log and professional project lead.

The agreement must name properties, service windows, staffed channels, site attendance, purchasing limits, third-party contracting, expenses, commissions, response expectations, cancellation and termination. No 24/7 coverage, fixed response time, vendor network or price is valid until REQUEST VIP confirms it in a dated schedule.

How It Works

  1. Map the estate, legal owners, current team, systems, contractors, access controls, annual dates and unresolved risks.
  2. REQUEST VIP confirms its operational role, location coverage, authority limits, information process and commercial terms.
  3. Approve the asset record, maintenance calendar, work-order standard, reporting format and specialist responsibilities.
  4. Run each task through quote, authority, access, execution, evidence, invoice and next-due-date review.

FAQ

Is estate management the same as a home concierge?

No. A home concierge may coordinate arrivals and individual household requests. Estate management uses an operating record across buildings, grounds, staff, systems, contractors and longer-term works.

Does REQUEST VIP become the legal property manager?

That must not be assumed.

Can the service supervise building works?

It may coordinate schedules, access, approvals and reporting within the confirmed mandate. Technical design, site supervision, certification and regulated construction duties remain with qualified appointed professionals.

Who employs household staff?

The lawful employer must be identified in the employment documents. REQUEST VIP should not be treated as employer, payroll provider or immigration adviser unless that specific role is formally confirmed and lawful.

Is estate support available 24 hours a day?

Continuous coverage is not included by implication. The agreement should state staffed hours, monitored channels, escalation contacts, target responses and any out-of-hours charges.

How are keys and sensitive property information handled?

Use a documented, least-access process with named recipients, purpose, expiry and return.
