Private Expedition Travel
The first brief should state the experience, not simply “the poles.” An Antarctic Peninsula voyage normally uses a ship as accommodation and transport; a cruise-only itinerary may never put guests ashore. A fly-in Antarctic programme can move from Punta Arenas to a seasonal ice camp and onward by ski aircraft. An Arctic plan may combine Svalbard lodging, an expedition vessel and regulated shore activity. Each has different permits, baggage, medical screening and delay exposure.

Cruise, land expedition or private logistics

A land expedition needs camp dates, accommodation, heating, sanitation, internal aircraft, ice conditions, equipment and medical support. It describes physiological altitude at the South Pole around 3,300 metres, showing why a fly-in programme is not a hotel transfer.
Private logistics may involve a dedicated aircraft, yacht, ice-strengthened vessel or specialist camp, subject to operator capability and authority approval. A private jet itinerary can organise the gateway sectors; a private jet charter cannot promise access to an ice runway or override the polar operator’s payload and conditions.
Permits, briefings and protected places
The Antarctic Treaty Secretariat directs visitors to national competent authorities and environmental rules. FCDO guidance says a UK-organised expedition, or one using a UK vessel or aircraft, generally needs a permit; an organised voyage operator usually handles its passengers’ process. The applicable authority depends on operating structure and nationality, so obtain written confirmation.
In Svalbard, the Governor’s Field Safety Regulations took effect on 1 January 2026. Activities can require notification or application, camping needs permission, and tourist landings in protected areas are restricted to mapped sites with participant limits and a suitably knowledgeable guide. Do not describe future guide-approval rules as already in force: the Governor states that the approved-guide requirement begins on 1 July 2027.

Weather, landings and wildlife
Wind, sea, ice, visibility, runway condition and wildlife protection can change or cancel a movement. No landing, camp arrival, South Pole flight, bear sighting, penguin encounter or exact route can be guaranteed. IAATO’s rules expressly distinguish cruise-only visitors from people going ashore; language such as “daily landing” must remain conditional.
AECO’s Arctic guidelines use a no-disturbance principle and prohibit luring or pursuing polar bears. Its biosecurity guidance calls for cleaning footwear, clothing and bags and disinfecting between sites or regions. The expedition leader may increase distance, close an activity or redirect the party without compensation outside the applicable contract.
Health, insurance and equipment
Request the operator’s medical form, fitness standard, clinician review deadline, evacuation limit and nearest suitable care. Cold, rough water, stairs, slippery shorelines and altitude can alter suitability. Visit Greenland says an Ice Cap crossing needs Expeditions Office permission plus additional search-and-rescue insurance, and places responsibility on travellers for suitable cover, training, equipment and emergency communication.
Insurance should address destination, activity, evacuation, search and rescue where relevant, interruption and full non-refundable value. Remote recovery is not immediate hospital access.
Layering, boots, flotation, survival gear and baggage allowances belong to the exact programme. Identify what the operator lends, its size range, what must be carried, battery restrictions and what happens if checked baggage misses the gateway. A luxury hotel night before departure can protect briefings and equipment checks but does not eliminate weather delay.
Inclusions, terms and contingency
The dated quote should split gateway lodging, expedition transport, cabin or camp, meals, equipment, permits, mandatory insurance, gratuities, communications, fuel contingencies and taxes. Build a decision tree rather than a decorative backup list: extra gateway nights, airline change exposure, local accommodation, contact authority and the date on which a late arrival becomes impossible.
