Public admission versus a private visit

A private visit should specify the institution’s product, meeting point, group capacity, guide, language, duration and whether it takes place during public hours. Fondation Louis Vuitton, for example, officially offers guided private visits in small groups at dedicated morning or evening times. That wording still requires a confirmed booking; “dedicated hours” should not be translated into whole-building exclusivity unless the contract says so.

At the Louvre, an individual ticket cannot be repurposed for a group visit. Its current group guidance requires advance reservation and an authorised person with speaking rights; official visitor regulations govern the group leader throughout the route. A guide secured independently does not override the Louvre’s reservation or credential rules.

Guide, mediator or curator

Record the leader’s name, employer, language and function. An institution guide interprets an approved route; a mediator may facilitate discussion or accessibility; an external guide can speak only when the venue recognises the credential. A curator has collection, research or exhibition responsibilities, so ask the institution to confirm that title, subject and any right of substitution.

The Louvre states that its curatorial staff do not appraise private art for ethical reasons. Keep visits separate from valuation and acquisition. The art and luxury calendar can align museum requests with fairs without implying reciprocal privileges.

Dedicated hours, closures and private events

“Before opening”, “after hours” and “private event” require different documents. A tour may use selected galleries and an institution guide; venue hire may cover reception space but exclude collection rooms. Public closure may be partial rather than exclusive occupation.

Ask which entrance opens, which galleries are scheduled, whether elevators and cloakrooms operate, and what happens if a work or room is unavailable. Conservation, loans and technical events can change the route. Cancellation also varies: the Louvre currently says completed leisure-group bookings cannot be cancelled or modified, while Fondation Louis Vuitton processes group requests only within allocated capacity. Security, accessibility and guest care

Submit legal names and all roles, including assistants, interpreters, carers, security and photographers. Confirm identification, arrival tolerance, screening, bags, coat check and re-entry. Prepayment never suspends conduct rules.

Accessibility is a route-level question, not a generic label. Fondation Louis Vuitton states that lifts serve all floors, wheelchairs and folding seats are subject to availability, and adapted group tours are designed with accessibility professionals. MoMA says its galleries, entrances and facilities are wheelchair accessible, while accommodation requests for public programmes should preferably arrive at least two weeks ahead.

Provide mobility, hearing, vision, sensory and resting requirements with consent. Confirm step-free drop-off, queue procedure, seating, interpretation, accessible toilets, service animals and evacuation arrangements; after-hours staffing may differ from daytime service.

Photography, discretion and rights

Personal, editorial and commercial images need separate review. MoMA permits still photography and video for personal, non-commercial use unless otherwise marked, without flash, tripods or extension poles. The Louvre has its own visitor regulations and dedicated contacts for professional filming and photography. Artwork copyright, visitor privacy and building rights can coexist.

For a discreet party, request operational options instead of promising an empty room. Agree whether the institution may photograph the group, whether guests may post and how names appear on documents. A guide cannot license artwork reproduction or grant access to conservation, archive or staff areas. Hospitality, if offered, needs separate confirmation of space, suppliers, insurance and finish time.

Does private museum access mean the museum will be empty?

Not necessarily. A private tour can mean a dedicated guide or group slot during public opening. Whole-gallery or whole-building exclusivity must be explicitly described and contracted by the institution.

Can REQUEST VIP guarantee a curator-led tour?

Can our own guide speak inside the museum?

Will a private tour include every requested artwork?

No artwork should be guaranteed. Loans, conservation, gallery closures and crowd management can change the route, so the confirmed plan should include thematic alternatives.

Can we arrange professional photographs during the visit?

Professional capture normally requires a separate request covering crew, equipment, rights and intended use. A visitor photography allowance does not grant commercial reproduction or permission to film staff and other guests.

How should accessibility be requested?
