A useful shortlist begins with an operational dossier. A robust profile or helipad image does not establish permission to enter ice, land guests or conduct aviation.

For polar waters, determine whether the IMO Polar Code applies to the vessel and voyage. The Code became mandatory under SOLAS and MARPOL for covered ships on 1 January 2017 and addresses design, equipment, operation, training, search and rescue, voyage planning and environmental protection. Where required, review the Polar Ship Certificate, category and Polar Water Operational Manual; an “ice-class” marketing phrase is not an adequate substitute.

Cabins, crew and life far from port

Match cabin layout to the full manifest. Ask which berths are available to guests, whether expedition leaders or specialist guides use guest accommodation, and whether children, medical support, security personnel or media teams count within certified limits. Confirm stairs, watertight doors, exterior exposure, bed access, bathroom handholds and the route to muster stations for anyone with reduced mobility.

Crew numbers alone reveal little. Identify the captain, deck and engineering coverage, expedition leader, local guides and qualifications required for tenders, diving, aviation or polar navigation. Medical capability needs precise equipment, trained roles, telemedical contact, nearest realistic assistance and evacuation triggers. REQUEST VIP does not replace the captain, operator, insurer, doctor or coastal authority.

Route, weather and landing authority

Build an expedition as a hierarchy: essential operating region, preferred sites and acceptable substitutes. IMO guidance for passenger ships in remote areas calls for attention to limited resources and navigational information, plus safe areas, no-go areas and contingencies when search-and-rescue support is distant. Ice, swell, fog, daylight, wildlife protection and a safe return window can remove a landing even after the voyage begins.

The relevant government or treaty system controls access. Antarctic Treaty visitor and site guidance does not itself guarantee national authorisation. South Georgia's government, for example, requires its own entry and vessel processes and may require regulated-activity permission for activities such as drones or submersibles. These examples show why every coast needs a dated authority check; they do not establish feasibility for a proposed itinerary.

Tenders, equipment and accessibility

An expedition depends on transfer systems as much as the mother yacht. Record tender type and capacity, boarding height, lifting method, wet or dry landing process, sea-state limit, lifejackets and the number of rotations. Kayaks, dive equipment, submersibles, helicopters, drones, fishing gear and wildlife-viewing equipment exist only if listed for that yacht and authorised for that place and guest.

Ask for a real movement audit rather than an accessibility label: airport-to-quay route, gangway gradient, deck thresholds, stairs, tender transfer, shore surface, toilet access and emergency assistance. Alternative observation from the yacht may be the safer plan. Equipment can be withheld by the captain because of weather, maintenance, licence, environmental restrictions or guest competence.

Agreement, APA, tax and remote costs

The agreement should name the yacht, contracting entity, period, delivery and redelivery, cruising area, guest limits, crew, fee, expenses, payment, cancellation, insurance and special conditions. If a MYBA form is proposed, review the issued contract rather than an old sample; REQUEST VIP does not claim MYBA membership or legal authority.

MYBA's official APA guidance describes captain-led expenditure reporting and an end-of-charter account supported by receipts. It does not make APA a fixed all-inclusive surcharge. Remote charters can add fuel, positioning, permits, port or agency costs, guides, communications, equipment, provisions, medevac arrangements and tax. In the EU, official VAT guidance makes the place where short-term transport hire is put at the customer's disposal relevant, but the actual treatment requires advice on the signed facts and jurisdictions.

Embarkation and connecting travel

Confirm the delivery port, quay or tender point, baggage method, manifest deadline, required travel documents and the last dependable transport connection. A remote departure may need contingency nights and strict luggage limits. Match specialist clothing to operator instructions.

What makes an expedition yacht different from a normal superyacht?

A credible expedition yacht is assessed through its documented operating limits, certificates, range, equipment, crew and emergency plan, not its styling. The required capability changes with the proposed waters.

Can an expedition yacht enter Antarctic or Arctic waters?

Only a vessel and operator that satisfy the applicable flag, coastal, treaty and voyage requirements may proceed. Polar Code documents, national authorisation, site rules and the captain's assessment may all be relevant.

How many guests can sleep aboard?

The contract and vessel certificates must state the sleeping and cruising limits. Cabins occupied by guides or specialist staff may reduce the accommodation available to charter guests.

Are helicopters, submersibles and dive equipment included?

Nothing is assumed. Each item needs written inventory, operating approval, qualified personnel, insurance, local permission and suitable conditions.

What happens if weather prevents a landing?

The captain can cancel or replace a landing for safety, law or environmental protection. Agree priority sites and meaningful alternatives, then read the contract's route and cancellation provisions.

Is APA the final price of an expedition charter?

No. Where the contract uses APA, it funds specified variable expenses and is accounted for under the agreement; additional funds may be required. Tax, permits, positioning and specialist services must also be identified.
